How to share a concert programme with musicians and the public

Time needed: 10 minUpdated Part of: Setlists

A setlist in OPS has two audiences: the musicians who need their individual parts, and the public who want to see the programme. This guide covers both. For musicians, you assign each member to the setlist so they see only their own voices in OPS Scores or the web app — no emailing PDFs. For the audience, you make the setlist public, which generates a link and a QR code that anyone can open on their phone. Both steps take about ten minutes for a typical concert programme.

Before you start

  • The pieces in your setlist must already be in the library, with the correct voices uploaded.
  • Members who will be assigned must already have activated platform accounts.
  • Making a setlist public is available from the Free plan. Assigning musicians requires the Standard or Full plan.

Steps

  1. Open the setlist

In the left navigation, click "Setlists". Find the setlist for your concert and click on it to open the detail view. If you have not created it yet, click the "+" button, give it a name and add pieces from the library by clicking "Add piece" in the setlist.

  2. Assign musicians to the setlist

Click the "User access" button (top right of the setlist detail). A panel opens listing all members who have activated accounts. Select the musicians who are performing in this concert. Each selected musician will see only the voices assigned to them within the setlist — the rest of the library stays hidden unless they have library access. Click save to confirm the assignment.

  3. Check which voices each musician will see

Each piece in the setlist shows its voices. A musician assigned to the setlist sees the voices that match their instrument assignment in the library. If a voice does not appear for the right musician, check the voice's access settings on the piece detail page.

  4. Make the setlist public for the audience

In the setlist, toggle "Make setlist public". A dialog opens: under "Valid for", choose the number of days the link will stay active, or select "Never expires (unlimited)" for a permanent programme page. Click "Make public" to confirm. A public link and a QR code appear immediately.

  5. Share the link or QR code

Copy the public link to paste into your website, social media or an email to ticket holders. Download the QR code image to print on your concert programme booklet, poster, or project it on a screen in the foyer. The public page shows the piece titles, composers and durations — no login required to view it.

  6. Let musicians download or open their parts

Assigned musicians log in to app.ops-music.com or open OPS Scores on their iPad. The setlist appears in their Setlists view with the voices allocated to them. From OPS Scores they can open each part, annotate it with Apple Pencil and start concert mode for the performance. From the web app they can download their voices as a ZIP file.

Tips

  • Set the public link validity to match the concert season — for example, 30 days — so the programme is accessible during the lead-up and for a few weeks afterwards, then expires automatically.
  • A musician who is assigned to the setlist but does not yet have an account will not see their parts. Invite them first using the "Invite link" action on their member record, then add them to the setlist once they have activated.
  • If you update the setlist — add a last-minute piece or remove one — the public page updates instantly. Assigned musicians see the updated programme on their next sync.

Frequently asked questions

Can I share the programme without requiring a login?

Yes. Once a setlist is made public, anyone with the link or QR code sees the programme in their browser with no account needed. Only the musicians who need to access their parts must log in.

What does an assigned musician see that others do not?

An assigned musician sees the setlist in their personal view with only the voices allocated to them. They can open, download and annotate those voices in OPS Scores. They do not see the rest of the library unless they have a library:read permission.

Can I print the public programme page as a PDF?

OPS does not generate a formatted PDF programme. You can use your browser's print-to-PDF function on the public page, or export the piece list and design your own printed programme.

What happens when the public link expires?

After the validity period you set, the link returns a 'Link expired' message. The setlist and its pieces remain in your library — only the public access ends. You can make it public again at any time with a new validity period.

Can the audience see the parts (sheet music)?

No. The public programme page shows piece titles, composers and durations. Sheet music and voices are never visible on the public page — they are only accessible to assigned and logged-in members.
