Frequently asked questions
What is OPS music school management software?
OPS is an all-in-one music school management software that handles the full lifecycle of a music school: student enrolments and contracts, course scheduling, attendance tracking, grade entry, report card generation, tuition billing, and a parent portal — all integrated with a score library, instrument inventory and accounting. No extra software needed.
Can OPS manage both a music school and an orchestra together?
Yes — that's exactly what OPS is designed for. One platform covers both your music school (enrolments, courses, grades, billing, parent portal) and your ensemble management (scores, members, instruments, accounting, setlists). Many organisations use both simultaneously.
Does OPS have a parent portal?
Yes. Each course generates a unique token URL that parents access without creating an account. Through the portal, parents can see their child's lesson schedule, attendance record, grades, shared materials, and submitted practice logs. Teachers can also leave timestamped feedback on practice recordings from the same interface.
Can OPS handle tuition fee billing?
Yes. OPS includes a full invoicing module with a product and service catalogue, TVA rate support, and a lifecycle from draft to sent to paid. Payment tracking, double-entry accounting following the Plan Comptable Général, bank reconciliation, and FEC export are all included — specifically designed for French music associations and private schools.
How does course scheduling and timetabling work?
You define recurring slot patterns (day of week, time, teacher) for each course and OPS auto-generates individual session instances for the full school year. Sessions appear in a weekly and monthly calendar view. Each session can be individually cancelled or modified without affecting the overall pattern.
Can students submit practice logs digitally?
Yes. The parent portal lets students submit practice logs (date, duration, notes) and audio or video recordings directly. Teachers receive these in the platform, can mark them as listened, and leave timestamped feedback. This replaces paper practice diaries and makes progress visible to both teachers and parents.
Does OPS generate report cards?
Yes. After entering quarterly grades and comments per student per course, you can generate PDF report cards with one click. Each bulletin is automatically assigned an archive number, stamped with your organisation's identifier, and stored in the document management module for easy retrieval.
