OPSOPS

Wind Band Management Software

One platform to run your wind band

OPS is designed for wind bands, concert bands and community bands: everything a librarian, instrument manager and treasurer needs, working together without switching between spreadsheets and folders. Manage your score library, loan instruments, track uniforms, plan concert programmes and handle the association's accounts — all from one platform your whole committee can access.

OPS setlists view showing a wind band concert programme with instrument parts

Score library and concert setlists

Scan the separate parts of each piece and OPS finds where each instrument part starts and saves one PDF per part (it does not extract parts from a conductor's score). The library holds every piece tagged by genre, difficulty, composer and archive number so you can find anything in seconds. Coloured labels, free-text search and prefix searches let every committee member navigate the catalogue without any training. A ZIP of all parts is one click away whenever the band needs a complete score package.

Setlists make concert planning straightforward. Create a programme, drag pieces into order, set the concert date and share the setlist with musicians. Each musician gets access only to their instrument's parts. The public link lets you display the full programme on your website or a screen at the venue — no account needed for the audience. The OPS Scores iPad app lets musicians read their parts offline and annotate with Apple Pencil during rehearsals.

Instrument loans and member management

The instrument inventory records every instrument with its model, serial number, purchase details, condition and current location. Logging a loan takes a few clicks: choose the instrument, the borrower and the expected return date, and OPS generates a printable loan contract with your association's letterhead. Return it the same way, with a condition note. Reminders go to your loan manager before the return date. You get a real-time view of every instrument in circulation at any moment.

Member records store contact information, roles, instrument, group membership and account access. Import your existing list from an Excel spreadsheet using the provided template in one step. Membership history, instrument assignments and loans are all linked to the same member record. Custom fields let you capture anything specific to your association — audition date, t-shirt size, emergency contact or any field you define.

Association accounting for the treasurer

The accounting module follows French accounting standards (Plan Comptable des Associations) with a full chart of accounts, double-entry journal, bank reconciliation, VAT tracking, invoice management and year-end closing. The treasurer imports bank statements from most French banks (CIC, CA, LCL, BNP, SG and more), matches transactions to journal entries, and closes the month in a few minutes. The annual accounts (balance sheet, income statement) are ready for the general assembly without any external software.

Supplier invoices can be captured by scanning or photographing the document: AI reads the supplier name, date, lines and amounts and pre-fills the accounting entry for review. Budget tracking lets you compare actual income and expenditure against your annual budget for each category — concerts, sheet music, events, premises and any budget line you define. The FEC export is available for the tax authority when required.

Step-by-step tutorials

Frequently asked questions

Is OPS suitable for a small community band as well as a large wind orchestra?

Yes. The Free plan covers 20 pieces and 3 setlists with 2 users — enough for a small ensemble to get started. The Standard plan adds unlimited scores, full member management and instrument inventory. The Full plan adds accounting and is suited to associations that manage their own accounts.

How does the instrument loan system work?

You add each instrument to the inventory with its details. To log a loan, you select the instrument, the member borrowing it and the expected return date. OPS generates a printable loan contract. When the instrument is returned, you log the return with a condition note. The current status of every instrument is visible on the inventory page.

Can musicians read their parts offline on iPad?

Yes. The OPS Scores iPad app caches each musician's assigned setlist parts and personal pieces for offline use. Annotations made with Apple Pencil sync to their account. Concert mode displays all pieces in the programme in full screen without needing to navigate menus — ideal for use on stage.

Does OPS handle the accounting side for a French association?

Yes. The accounting module follows the French Plan Comptable des Associations with a full double-entry journal, bank reconciliation, budget tracking and year-end closing. The treasurer can import bank statements, scan supplier invoices and produce the annual accounts for the general assembly.

How do I import our existing member list?

OPS provides an Excel template you fill with your existing member data. You upload the file via Administration and OPS imports all members in one step. Custom fields let you capture any data that does not fit the standard fields.

Can I share concert programmes with the public?

Yes. A setlist can be made public via a shareable link or QR code — no account is needed for viewers. The public page lists all pieces in order with the names of the parts. You can display this on a screen at the venue or link to it from your website.
