How to reconcile a bank statement in OPS
Every month, the treasurer needs to verify that every transaction recorded in the accounts matches what the bank actually processed. Doing this by hand — comparing a printed statement line by line against a spreadsheet — is slow and risks missing an entry. OPS lets you import your bank statement directly as a file (CSV for BNP Paribas, Crédit Agricole, Société Générale or LCL, or a PDF statement read by AI for Crédit Mutuel), then guides you through matching each bank line to its corresponding journal entry. By the end of this guide you will have imported the statement, matched all transactions and closed a balanced reconciliation.
Before you start
- A Full plan subscription (accounting module required)
- Accounting write permission on your OPS account
- A bank statement file for the period you want to reconcile
Steps
Open Accounting and select the fiscal year
Click "Accounting" in the left sidebar. In the fiscal-year selector at the top of the page, choose the year that covers the statement period.
Import the bank statement
Click the "Bank" tab, then "Import bank statement". Select the file format that matches your bank — BNP Paribas, Crédit Agricole, Société Générale, LCL or Auto-detect — and upload the file. For Crédit Mutuel, use Auto-detect with a PDF statement.
Review and confirm the import
The app shows a preview of the transactions it found. Deselect any lines you want to skip, then click "Import". The imported transactions appear in the Bank tab, ready to be matched.
Open a new reconciliation
Click the "Reconciliation" tab, then "New reconciliation". Select the bank account you want to reconcile and the period.
Enter or upload the statement details
Enter the opening balance, final balance and statement date manually, or upload a PDF statement to pre-fill these fields automatically. Once the details look correct, click "Use this statement" to confirm.
Match transactions
The app displays automatic matching "Suggestions" based on date, amount and account. Click "Match" next to each suggestion to accept it. For any lines without a suggestion, drag the bank line onto the matching journal entry, or post a new entry first.
Close the reconciliation
When the "Computed balance" equals the "Statement balance", click "Close". The reconciliation is locked and the closing date is recorded. Any unmatched lines remain in the Bank tab for the next reconciliation.
Tips
- If the computed balance does not match, look for a transaction entered twice or a bank charge not yet posted in the journal.
- Auto-detect works with most standard French bank CSV formats — if it fails, check that the file is not password-protected or saved in a non-standard encoding.
- You can open a reconciliation at any time and add more matches before closing it — no need to finish in one session.
Frequently asked questions
Can I reconcile a period that spans two fiscal years?
No. Each reconciliation is tied to a single fiscal year. If a statement period spans two years, import the transactions into each year separately and create one reconciliation per year.
What happens to unmatched bank lines after I close a reconciliation?
Unmatched lines remain in the Bank tab and will appear in the next reconciliation. They do not disappear — OPS keeps them visible until a matching journal entry is found or they are manually excluded.
Can I reopen a closed reconciliation?
No. Closing a reconciliation is final. If you find an error after closing, post a correcting journal entry for the current period rather than reopening the previous reconciliation.
The auto-detect did not recognise my bank's file format. What should I do?
Check that the file is a standard CSV (not XLSX) and that the dates are in a format the parser expects. If the format is still not recognised, enter the transactions manually in the Bank tab.
